Educational Tooling: Overview of tools used in education

The workgroup Educational Tooling is working on an overview of all the different tools that are currently being used which are not all centrally procured and supported. The goal is to give advice on potential privacy and security risks, how to mitigate these and/or what possible alternative tools can be used.

The list below is an overview of the tools currently being used in education by the TU Delft lecturing population. In the coming period, these tools will be examined on privacy & security aspects in order to provide good advice on their use. So for now, please use the tools which are centrally procured and supported by the TU Delft.

In creating this overview a few criteria are used to assess the different tools. For an explanation on the impact and importance of these aspects, go to this separate page Education Tooling: Questions related to privacy and security

Color Explanation
Green Green light Positive advice on privacy and/or security, these are generally the tools centrally procured and supported by TU Delft.
Yellow yellow light Preferably not used, but can be used under specific conditions (some of these conditions will be added later).
Red red light Negative advice on privacy and/or security. Using this tool might result in liability issues and a fine.
Grey grey light To be determined.

Peer Tool (EWI) Grey light Inhouse build and maintained tool by the faculty of EEMCS. Makes use of SSO and has a clear privacy statement. Not centrally supported, not vetted on privacy and security.

Presto Grey light Inhouse build and maintained tool by one of the TUD Education Fellows used for a “modelling estafette”, including peer review and peer appraisal. Makes use of SSO. Not centrally supported, not vetted on privacy and security.

Scorion Green light Used for peer evaluation. Will be no longer available from September 2020 and is replaced by BuddyCheck. Until then centrally supported, available through Brightspace upon request.
The Great Library Green light Is being used by TPM for game-based thesis writing. Has SSO and a DPA.

ANS Delft Green light ANS-Delft is used by some faculties for digitizing paper exams. For request and support, reach out to the faculty coordinator or mandate. A data processing agreement is in place, and the processing takes place in the EU.

MapleTA / Möbius Green light Web-based system for creating exams, tests, quizzes and assignments. Centrally supported. Use for homework available through Brightspace upon request, use for summative digital testing supported by Digital Exams. From July 21st on the homework server will be upgraded to Möbius. From September 1st, the exam server will be upgraded to Möbius.

Google Docs/sheet/slides/drive Yellow light TU Delft has a license for Google for Education that is currently being tested. A limited DPA is in place and only allows for use with non-sensitive and non-personal data.
Recommended alternatives: SURFDrive, Sharepoint, MS Teams, MS OneDrive.
Jamboard Grey light
Minecraft Red light There is no TU Delft license in place. The business model of this tool is to collect and sell data of its users. So, more data is collected than is necessary for its use. Also there is no SSO and no DPA.
Miro Red light There is a TU Delft license in place, SSO, and DPA. However, this DPA doesn’t ensure the privacy of our students or employees. Data is not necessarily stored within Europe, more data is collected than is necessary for its use.
Recommended alternative: MS Whiteboard
Monday Grey light
MS Onedrive Green light Microsoft Onedrive is an online file storage platform. Part of the TU Delft Microsoft 365 suite.
MS Teams Green light Microsoft Teams is a chat-based collaboration platform that allows you to work together and easily share information. It is fully integrated with Microsoft Office services as well as cloud storage and sharing services and supported by ICT-FM and TLS (from August onwards).
MS Whiteboard Green light Microsoft Whiteboard is an online whiteboard which can be used in MS Teams. It contains a canvas, a pencil in four colors and post-its. It’s possible to collaborate with students on this whiteboard. You can open a whiteboard in MS Teams Meeting, share your content and choose: Microsoft Whiteboard.
Mural Yellow light There is no TU Delft license in place. No SSO, no DPA. However, Mural does offer user possibilities how to handle their data. If correctly set and applied in combination with SSO and DPA, this tool could be recommended.

Next cloud Grey light Recommended alternatives: MS OneDrive, Sharepoint, Surfdrive
Notion Red light Free version does not support Single Sign-on. Also no DPA in place. Serious privacy issues, such as collecting and processing personal data and potentially sharing/selling these data to third parties. Security measures about how this company process personal data are unclear.
Recommended alternatives: MS OneNote, MS Teams.
Nureva Span Yellow light A visual collaboration system currently in use at the TeachingLab. For pilot purposes positively advised if no sensitive or personal data is being processed.
Overleaf Green light An online collaborative scientific writing and publishing tool. TU Delft wide license, centrally supported by the Library, SSO available, DPA in place.

Padlet Red lightYellow light Free/Basic:  Not recommended (red dot). Collects and processes excessive personal data, including the use of behavioural tracking and analytics.
Pro: Depending on how security and privacy arrangements, this tool can be used (Orange). A data processing agreement must be signed, and privacy-friendly settings must be adopted by default.
ProjectCampus Green light Social learning environment for groups and projects TU Delft wide license. Available through Brightspace upon request, SSO available, DPA in place. Centrally supported.

Discord Red light Not recommended. This is commercial consumer product that is not suitable for use within an organization. It is not possible tailoring it to institutional required settings that might make is more secure and GDPR compliant. There is no possibility of SSO, no DPA in place, information on security is not available. Data is shared with third-parties and more data is collected than necessary for its use.

Discourse Yellow light Grey light Open source online discussion forum. Depending on supplier, hosting and agreements made this can be recommended.
Available free version has not been vetted on privacy and security.

Gather.town Yellow light Tool for gamified meetings. This tool has little privacy issue, however it has weak score on the security front. If you use this tool, please make sure that a unique password is being used (DO NOT reuse of your NetID password).
MatterMost Yellow light Open source self-hostable online chat service with file sharing, search, and integrations. Depending on supplier, hosting and agreements made this can be recommended.
Currently used and self-hosted by faculty of EEMCS with no SSO. No vetting done on privacy and security.
Recommended alternative: MS Teams
MS Teams Green light Has just been rolled centrally for staff. For education from August 2020 onwards, including educational support.
Piazza Red light Tool for online discussions and Q&A’s. Serious privacy issues, such as collecting and processing personal data and potentially sharing/selling these data to third parties. Security measures about how this company process personal data are unclear.
Recommended alternative: MS Teams, Brightspace Discussion forum
Signal Grey light Recommended alternative: MS Teams in combination with the mobile app.
Slack Red light There is no TU Delft license in place. The free version does not offer SSO and there is no DPA in place. Data is not stored within Europe, more data is collected than is necessary for its use.
If used the paid version (plus) needs to be acquired, so it can be made available through SSO and a DPA can be put in place.

Telegram groups Grey light Recommended alternatives: MS Teams in combination with the mobile app.
Whatsapp groups Grey light Recommended alternatives: MS Teams in combination with the mobile app.
Zulip (free) Yellow light Zulip is a chat application. There is no TU Delft License in place. The free version does not offer SSO and there is no DPA in place.

HouseParty Red light Not recommended. No possibility of SSO, no DPA in place, information on security is not available. Data is shared with third-parties and more data is collected than neccessary for its use.

Jitsi Yellow lightGreen light Open source video conferencing tool. Depending on supplier, hosting and agreements made this can be recommended (the yellow dot).
TU Delft is participating in the Videobel pilot from SURF. When used in the context of the pilot it is recommended and connected to SSO (the green dot). No central support (yet).

For all downloads made available through software.tudelft.nl agreements are in place concerning privacy. Since these are not online tools, generally for all these tools apply that less data is collected.

H5P Yellow lightGreen light H5P can be used to create, share and reuse interactive HTML5 content in your browser. When using it through H5P.org no personal data is required. However, this is trial site and not targeted for large scale use.

When using it through H5P.com a contract is required and personal data is processed. Integration with Brightspace is possible. In the process of acquiring a TU Delft wide license, including DPA and Brightspace integration. Aimed availability 2020.

Kialo (Edu) Yellow light No TU Delft license, no DPA. Content is unstructured data, and could therefor contain privacy sensitive information in discussions.
Recommanded Alternative: Brightspace discussion board, MS Teams
Learning Catalytics Yellow light No TU Delft license, no DPA, no SSO. Too little information available on security.
NB (NotaBene MIT) Red light No encrypted data , not even when login in. Terms and Conditions not available, no information on data collection.

Perusall Red lightYellow light The free service collects more data than necessary. An institutional account is possible with custom legal agreements, a DPA and SSO. But this is currently not in place.

Open Broadcast Software Green light A tool to record and edit videos. This open source tool can be downloaded via www.obsproject.com.
NOTE: This tool also offers the possibility to stream directly to several services (like YouTube and Twitch). These platforms might not comply with privacy and security regulations.

Screencast-o-matic Grey light
